Requesting A Transcript
This information has been released in accordance with the Federal Family Educational Rights and Privacy Act (FERPA) and cannot be further disclosed without prior written consent of the student. All outstanding obligations (financial, academic or administrative) due to the college must be cleared before you request can be processed.
Standard Processing of Transcript Request: Official transcripts are produced on security paper and sent through the regular U.S. mail in a sealed envelope. The enveloped is stamped with the seal "Official Transcript Enclosed" and it bears the signature of the Registration on the outside of the envelope. Official transcripts are sealed with a multicolored signature seal on the secure paper. In addition, when the transcript is issued to the student, the transcript is stamped "issued to the student". If you open the envelope the transcript is no longer considered official.
Printable Transcript Request Form
All transcripts must be requested by the student, either by completing a request form available in the Registration's Office (Utica/Rome campus) or by submitting a written request by mail to the Registration's Office, or by faxing your written request to the Registration's Office. You may download the Transcript Request Form, print it, fill it out, sign it and mail or fax it to our office.
Transcript requests cannot be accepted by telephone or e-mail.
All transcripts issued and mailed by the Registration's Office are official transcripts.
Although Faxed transcripts are not considered official by any college, or university, they may be used for a preliminary evaluation. It is the student's responsibility to request an official transcript to be mail directly to the Admissions Office or Registration's Office of the college or university to follow the faxed request. The faxed transcript fee is $10.00.
The Registration's Office receives hundreds of requests every day. We process the request in the order that they are received. We require a 24 hour notification to our office. We do not process any overnight requests. Faxed transcript requests take the same amount to time to process as the mailed transcript requests.
To be sure that you have enough time to meet your deadline, you must consider 5 business days from the day of the receipt of the transcript request.
You may mail the transcript request along with a check or money order payable to MVCC or you may provide all your credit card information to cover the $5.00 transcript fee. Faxed transcript fee is $10.00.
Fax requests must include VISA, Mastercard or Discover account number, expiration date, and the VRN number (last three digit number on back of your credit card) and signature.
It is the student's responsibility to resolve the hold.
If you have included a telephone number on your request, we will attempt to call you at that number. We will ask you to check with the office that can release the hold. Until that obligation is met, we will not be able to release your official transcript.
If the hold is not resolved promptly, the transcript request along with your payment will be return to the sender with a letter stating the hold and the office responsible for it.
MVCC is not responsible for students not meeting deadlines for application to other colleges or meeting individual students' deadlines.
If, after 15 days from the date of your request, your transcript has not arrived at its intended destination, notify the Registration's Office at (315)792-5335. Notifications of non-receipt are accepted up to 90 days after your order date. After 90 days, you must place a new order.
